Privacy Policy
This is a plain-language summary of how ClinicOS AI handles data, provided for clinics evaluating the product. It is not exhaustive legal advice — write to us for anything specific to your organization.
What data we collect
To run a clinic on ClinicOS AI, we process: account and staff details (name, role, contact information); patient records entered by your clinic (demographics, visit history, consultations, prescriptions, billing); appointment and WhatsApp message content relevant to booking and clinic communication; and usage/audit data (who did what, when) needed to operate the system securely.
Why we collect it
Solely to provide the clinic-management service your organization has signed up for — booking, clinical records, billing, staff management and the WhatsApp and AI features you use. We do not sell patient or clinic data.
How data is used
- To operate the features you use (appointments, consultations, prescriptions, billing, HR, reporting).
- Where AI features are used (consultation drafting, WhatsApp message understanding, front-desk assistance), the relevant content is processed to produce a draft output for a human to review — it is not used to train shared models on your data.
- To keep the system secure — audit logging, abuse prevention, and troubleshooting.
Who can access it
Access within your organization is role-based (see our Security & Privacy page). Your clinic's data is isolated from every other clinic on the platform. ClinicOS AI staff access production data only as needed to provide support or maintain the system.
Data retention and deletion
We retain data for as long as your organization's account is active, or as needed to meet legitimate business or legal record-keeping requirements for clinical and financial records. If your organization wants its data deleted or exported, contact us and we will act on that request.
Third-party services
ClinicOS AI uses WhatsApp's Business Platform to send and receive the messages described on this site, and third-party AI providers to process the specific content needed for AI-assisted drafting features. These providers process data only to deliver the feature in question.
Your rights
If you are a patient of a clinic using ClinicOS AI, requests about your data should go to that clinic first, as they control your records. If you are a clinic customer, contact us directly for access, correction, export or deletion requests.
